Please read these terms before booking. By purchasing a ticket, you confirm that you have read and agree to these Terms & Conditions.

1. BOOKING AND PAYMENT

Your place is confirmed once full payment has been received and your booking information has been submitted.

Your workshop ticket includes:

• Participation in the Lithgow Earth & Art Weekend workshop

• Camping on site for the workshop period

• Shared meals as outlined in the event information

• One Earthen Explorer Kit

• Workshop materials, tools and instruction

• Your own finished earthen artwork

Any optional extras, including additional Earthen Explorer Kits or additional camping/meals for a non-participating guest, are not included unless specifically stated at the time of purchase.

Places are limited. Ticket availability is based on the stock shown on the booking page at the time of purchase.

2. MINIMUM NUMBERS

The workshop requires a minimum of 10 full paying participants to proceed.

A final decision about whether the workshop will proceed will be made by 27/10/2026.

If the minimum number is not reached and the workshop is cancelled, participants will be offered either:

• a full refund of their workshop ticket; or

• the option to transfer their booking to a rescheduled workshop date.

3. WEATHER & OUTDOOR CONDITIONS

This is an outdoor, hands-on workshop and some activities will take place outside.

Weather may affect the program, including activities involving walking, observation, clay collection and outdoor making.

Reasonable changes may be made to the program to keep participants safe and comfortable.

Participants should come prepared for changing conditions, including sun, rain, cold, heat, wind, dust and uneven ground.

If conditions become unsafe, activities may be moved, modified or cancelled.

4. PERSONAL RESPONSIBILITY

The workshop involves hands-on work with clay, sand, straw, water and natural materials, as well as camping and outdoor activities.

Participants are responsible for:

• following reasonable safety instructions

• taking care of their own personal belongings

• wearing suitable clothing and footwear

• staying within designated activity areas

• taking reasonable care around tools, fire and natural environments

• informing the facilitator of any relevant health, allergy, accessibility or safety considerations before participating

You should only participate in activities that you feel comfortable and physically able to undertake.

Participants must not attend or participate while significantly affected by alcohol or other substances. This is a non-alcoholic event.

5. NATURAL MATERIALS, DUST & SENSITIVITIES

The workshop involves working with natural earth materials including clay, sand, straw and other materials that may create dust.

Some participants may experience irritation or allergic reactions.

Please disclose relevant allergies, sensitivities or respiratory concerns in your participant information form.

Reasonable measures will be taken to reduce unnecessary exposure, but participants acknowledge that complete elimination of natural dust and material exposure is not possible in a hands-on earth workshop.

Participants should follow instructions regarding ventilation, dust, washing and protective equipment.

6. CAMPING & ACCOMODATION

Camping is included as part of the workshop experience.

Participants are responsible for bringing their own tent, sleeping equipment and personal camping supplies unless otherwise stated.

Camping conditions may be basic and participants should be prepared for outdoor conditions.

Please let The Earthen Explorer know before the event if you have accessibility or camping requirements that may affect your participation.

7. FOOD & DIETARY REQUIREMENTS

Shared meals (breakfast, snacks and dinner) are included as described in the workshop information.

Participants must provide accurate information about dietary requirements and food allergies during the booking process.

Reasonable efforts will be made to accommodate dietary requirements that are communicated in advance.

However, meals are prepared in a shared environment and we cannot guarantee an entirely allergen-free environment.

If you have a severe or life-threatening allergy, please contact The Earthen Explorer before booking so we can discuss whether the event can safely accommodate your needs.

8. ADDITIONAL CAMPERS/GUESTS

Additional campers or guests who are not participating in the workshop must be booked separately where this option is available.

An additional camper/guest does not have access to workshop instruction, workshop materials or an Earthen Explorer Kit unless these are purchased separately.

Participants are responsible for ensuring that any accompanying guests follow the relevant site and safety requirements.

9. PHOTOGRAPHY & VIDEOGRAPHY

Photography and video may take place during the workshop for documentation and promotional purposes.

Consent to identifiable photography or video is optional and will be requested separately from acceptance of these Terms & Conditions.

Choosing not to participate in photography or video will not affect your ability to attend the workshop.

Where possible, reasonable steps will be taken to respect participant preferences.

10. RESPECT FOR PEOPLE & PLACE

This workshop is intended to be a welcoming, inclusive and respectful space for everyone attending.

Participants are expected to treat other participants, facilitators, community members, the venue, surrounding environment and shared spaces with care and respect.

This includes respecting different backgrounds, experiences, abilities, identities, creative approaches and personal boundaries.

Bullying, harassment, discrimination, intimidation, threatening behaviour or behaviour that makes others feel unsafe or unwelcome will not be tolerated.

Participants are expected to treat the site, local community, other participants, facilitators and any cultural or environmental knowledge shared during the weekend with respect.

Please follow any site-specific requirements regarding access, photography, collecting materials, fire, waste and environmental care.

Only collect natural materials where permission has been given.

The workshop does not provide authority to access private land, collect materials or use cultural knowledge, stories, symbols or practices belonging to First Nations communities or other cultural groups.

11. ALCOHOL & DRUGS

This is an alcohol-free and drug-free event.

Alcohol must not be brought to, consumed or distributed at the workshop or camping site.

The use or possession of illegal drugs is not permitted.

Participants must not attend or participate while affected by alcohol or other substances.

This policy is intended to support a safe, inclusive and comfortable environment for everyone, particularly given the workshop involves tools, outdoor activities, camping and shared community spaces.

The Earthen Explorer reserves the right to ask a participant to leave the workshop or site if their behaviour presents a safety concern or significantly affects the wellbeing of others. No refund will ordinarily be provided in these circumstances, subject to any rights that cannot legally be excluded.

12. PARTICIPANT CANCELLATIONS

If you need to cancel your booking, please contact The Earthen Explorer at theearthenexplorer@gmail.com as soon as possible.

A partial refund may be available if you can transfer your place to another interested participant. Please contact us to request a transfer. Any refund will take into account non-recoverable costs already incurred.

A non-recoverable amount of $100 will cover administration costs.

These terms do not limit any rights you may have under the Australian Consumer Law.

13. CANCELLATIONS & POSTPONMENT

The Earthen Explorer reserves the right to cancel, postpone or substantially modify the workshop where this is reasonably necessary, including because of:

• severe or unsafe weather

• fire or other environmental conditions

• unsafe site conditions

• venue or access issues

• insufficient participant numbers

• emergencies

• illness or circumstances affecting the facilitator

• circumstances outside reasonable control

Where the workshop is cancelled by The Earthen Explorer, participants will be offered a full refund or the option to transfer their booking to a rescheduled date, as applicable.

Where the workshop is postponed, participants will be given information about the new date and their available options.

Nothing in these terms limits your rights under the Australian Consumer Law.

14. FIRST AID & EMERGENCIES

Reasonable first-aid provisions will be available during the workshop.

Participants must provide an emergency contact and disclose relevant information that may affect their safe participation.

In the event of an emergency, the facilitator may contact emergency services and take reasonable steps to obtain assistance for a participant.

Participants are responsible for bringing any personal medication, medical equipment or other items they require.

15. PERSONAL BELONGINGS

Participants are responsible for their own belongings, camping equipment, vehicles and valuables.

The Earthen Explorer, the venue and associated community organisations are not responsible for loss, theft or damage to personal belongings except where liability cannot legally be excluded.

16. PRIVACY

Information collected during booking and participant registration will be used to administer the workshop, communicate with participants, manage safety, dietary requirements and emergency information, and provide the services associated with your booking.

Personal information will be handled in accordance with applicable privacy obligations.

17. AGREEMENT

By completing your booking, you confirm that:

• you have read and understood these Terms & Conditions

• the information you provide is accurate

• you understand the nature of the workshop and its outdoor, hands-on and camping components

• you agree to follow reasonable safety and site instructions

• you will notify The Earthen Explorer of relevant changes to your circumstances before the workshop

• you understand that the program may change where reasonably necessary for safety or practical reasons

These Terms & Conditions are intended to set clear expectations for everyone participating in the workshop and do not exclude or limit any rights or remedies that cannot legally be excluded under Australian law.
